Enterprise Content Management

You’re faced with a mountain of valuable but unstructured information

Modern organizations run more and more on content.  Most of it, perhaps some 85%, is referred to as unstructured.  That includes word processing files, graphics, Web content, spreadsheets, emails and other digital assets used in the day-to-day operation of your business.  Its volume is massive and growing exponentially.  And, you need to have a way to manage it.

Enterprise Content Management (ECM) refers to the IT infrastructure and business strategies that do that job right across your company.  It’s not just another expensive tool that’s painful to implement.  In contrast, it’s an opportunity.  To improve daily business processes.  Increase efficiency.  Maintain valuable records in an easily accessible, organized manner.  Any firm wishing to improve service while driving costs down should make it part of its infrastructure.  It’s indispensable.

But only if it’s implemented properly.  It isn’t enough to simply have traditional document management and digital archiving.  You don’t want to end up with a partner who can’t see the whole picture.  That will really get you nowhere these days.

A pre-requisite that strengthens your business goals for today and for the future

We see ECM from a global and strategic viewpoint.  Our approach is an effective process that follows AIIM International’s[1] guideline for success - an “ongoing and evolving strategy for how content” is used.

When we work with you to put together an ECM package, we confront the challenge with a two-pronged approach.  A Top-Down focus defines the key base elements.  That’s complemented by a Bottom-Up attack, which builds the service in successive waves, as and when necessary.  Not only does this save money in the long run, it also avoids the frustration of overly ambitious all-encompassing solutions that maybe can’t adapt to future legislation.  It’s the optimal, strategic way of achieving a high maturity level quickly, avoiding the pitfalls that come from an unfocussed, tactical approach.

We’ll work with you to build a logical roadmap, a four-phase approach to success.  A preliminary analysis; business case presentation; framework/architecture definition and system implementation; and, a business case feedback study.  It’s a closed-loop methodology that improves quality control, manages change, and identifies the value your investment has produced.

A truly successful solution demands a comprehensive process

We view ECM from the perspective of what it can bring to a dynamic organization.  That’s because it’s used to take advantage of one of your key assets.  Information.  And, that’s as vital to business success as your employees, your capital, your products or services.  Not only does it improve service delivery, but it helps contain costs, too.

Piecemeal approaches, like those that simply help you manage documents or retain records, can’t solve your problem.  That volume of uncontrolled content will just get larger and you’ll still have to deal with it in the future.  As well, it won’t deliver business value and isn’t strategically considered.  On the other hand, we examine and consider all necessary components, including:

- Document management
- Search and discovery
- Business process management
- Records and retention management
- eForms
- Email management
- Web content management
- Digital asset management
- CompositionCollaboration
- Imaging
